The HERA Women’s Cancer Foundation is a national non-profit organization whose mission is to stop the loss of women from ovarian cancer by promoting Health, Empowerment, Research, and Awareness. Ovarian cancer is the fifth leading cause of cancer deaths in women and accounts for more deaths than any other cancer of the female reproductive system. The need to raise awareness about this deadly disease is crucial. HERA’s signature fundraising events are the annual Climb4Life rock climbing and hiking weekends held in Boston, MA; Boulder, CO; Washington, DC; and Salt Lake City, UT. The HERA Foundation is seeking an experienced event coordinator for the climb in Salt Lake City in September 2013.

Position Summary
The event coordinator will report to HERA’s Executive Director, and will be responsible for the overall coordination and management of all aspects of the 2013 Climb4Life event in Salt Lake City, UT.

Position Goals/Duties/Objectives
• Ensure participants and volunteers have a positive C4L event experience.
• Promote the event to individuals and groups locally and nationally. This includes coordinating with the ED and volunteers to distribute marketing collateral, social media outreach, and electronic communications, as well as speak to community groups and/or the media as needed.
• Increase event participation levels. Recruit new participants locally and nationally from climbing gyms, doctors’ offices, the outdoor community, and other interested affinity groups.
• Be creative.
• Motivate and inspire participants to increase their fundraising activities and goals.
• Drive concept development for new aspects of the event and implement new aspects.
• Recruit, train, support, motivate, and supervise new and returning event volunteers.
• Coordinate volunteer committee to organize & staff climbing and hiking activities including registration and celebration dinner activities;
• Schedule and coordinate volunteer committee meetings, prepare agendas, act as meeting facilitator, coordinate documentation of meeting minutes. Follow up on meeting outcome action items.
• Contact local community organizations/companies to solicit support for the event and HERA.
• Provide a verbal or written weekly progress report to HERA.
• Track and monitor actual expenses against the budget.
• Gather event-related feedback and prepare a written post-event evaluation.
• Add to existing C4L event guide by providing written event planning documentation.
• Create fun!

Additional responsibilities may be agreed upon in writing between event coordinator and HERA.

The event coordinator will be paid $18 per hour (capped at $3,000) and will be reimbursed for all event-related expenses. The event coordinator will be an independent contractor of HERA whose services will be utilized from approximately February through October of 2013. The ideal candidate will be creative, have excellent relationship building skills, event planning experience, be well-organized, have good verbal and written communication skills, and some knowledge of the outdoor community in Salt Lake City, UT. The event coordinator should be based in Salt Lake City. This person will have a vital role in helping HERA achieve its overall objectives of raising awareness about ovarian cancer, as well as meeting or exceeding its fundraising goal.
